Meeting & Conference Spaces: Listing and Booking Corporate Spaces
List meeting rooms, boardrooms, conference halls and auditoriums, and book them by the hour, by the day or per seat β deposits, balances and cancellations.
Conference centres, auditoriums and business centres can list their rooms on Informativ and take bookings online. Bookings are instant: there's no approval step β paying the deposit confirms the booking.
Setting Up a Corporate Space Venue
Pick a Corporate Space venue type (Conference Centre, Auditorium, or Business / Co-working Centre) on your venue, or tick Corporate Space under Also offers if your venue is mainly something else β for example a lodge with a conference room. Then open the venue and choose Meeting & Conference Spaces β Manage Spaces.
For each space, set:
- Name, type and capacity β the most people it holds. Per-seat bookings share these seats.
- Layouts it can be set up in (theatre, classroom, boardroom, U-shape, cabaret, banquet, standing). The booker can ask for one.
- Rates β per hour and/or per day for the whole room, and/or per seat. Leave a rate empty to switch that way of booking off; at least one is needed.
- Minimum hours for hourly bookings, and a set-up / clean-up gap kept free before and after every booking.
- Bookable hours for each day of the week. A day booking covers that day's bookable hours.
A new space starts switched off. Switch it on when you're ready; it shows on your public venue page once the venue itself is available for booking. Changing rates or hours only affects new bookings.
How Prices Work
- Whole room, by the hour: hours Γ the hourly rate, on one day.
- Whole room, by the day: one or more days Γ the daily rate. Days the space is closed in between are skipped and not charged.
- Per seat: a flat price per seat for the whole booking, however long it runs β 10 seats at R50 is R500. Several bookers can share a room this way until its seats are taken; a whole-room booking needs the room to be free.
Booking a Space
Open the venue's page, pick a space, and choose what you're booking and when. You see the price, and whether the time is free, before you pay. You need to be logged in to book.
- Pay a 50% deposit to confirm. The time is held for 30 minutes while you pay.
- The balance is due 48 hours before the start. We remind you a day before, and you pay it from Dashboard β Venue β My Space Bookings. A booking made less than 48 hours ahead is paid in full straight away.
- If the balance still isn't paid when the booking starts, the venue may cancel the booking and keep the deposit.
In the Informativ app: More β Book a Room or Studio finds meeting rooms and books them (catering included), and More β My Room & Studio Bookings is where you pay the balance or cancel. Add to your booking (AV equipment and other caterers) is there too: each suggestion opens its booking form in the app, already signed in and filled in for your meeting.
Catering and AV
- Catering from the venue. If the venue's owner also runs a restaurant or bar, they can offer some of its menu items with space bookings (on the menu item, tick Offer as meeting catering). Bookers add quantities while booking, and the catering is paid with the booking β same deposit, balance and cancellation rules. Alcohol needs the booker to confirm they're 18 or older.
- AV equipment and other caterers. Once your booking is confirmed, My Space Bookings shows Add to your booking: AV equipment for hire near the venue and free on your dates, and β when the venue doesn't offer its own catering β catering providers. Each opens its normal booking form with your date, the venue's address and number of people filled in. These are separate bookings, paid and cancelled under their own terms; cancelling the space booking doesn't cancel them. Equipment needs 48 hours' notice.
- The venue sees the catering to prepare, and which equipment or caterers you've booked for the meeting, so it can expect them on the day.
Cancelling
- You cancel 48 hours or more before the start: everything you paid is refunded.
- You cancel later than that: the venue keeps the deposit (half the total); anything you paid above it is refunded.
- The venue cancels: you're refunded everything you paid.
Refunds go back to the card you paid with, usually within 1β2 business days (up to 14, depending on your bank). See the Refund Policy for the full rules.
For Venues: Bookings and Payouts
Meeting & Conference Spaces β View Bookings lists upcoming, completed and cancelled bookings with the booker's contact details, layout and notes. Team members with the venue bookings permission can see and manage them too.
Each payment (deposit and balance) is credited to your balance as it's paid, less the Corporate Space commission. If you cancel a booking, the booker is refunded in full and the refund comes off your balance; the commission already charged isn't refunded.
In the app, More β Meeting Rooms & Studios β Bookings shows the same list and lets you cancel, and More β Meeting Rooms & Studios β Set Up Rooms & Studios adds and edits spaces β type, capacity, layouts, rates, opening hours and photos β and switches them on or off, with the same rules as the web dashboard.
