Adding Staff to Your Account

If you're an organizer, artist, lessor, provider, vendor, or venue owner/manager, you can invite other people to help run your account without sharing your login.

Inviting Someone

Go to Dashboard β†’ Team and click Invite Staff. Enter their email address, then check off exactly which actions to grant, grouped by feature (each group has a "select all" if you want to grant everything in it):

  • Events – create, edit, publish, feature, tournaments, RSVPs/guest lists, booking artists, stall bookings, booking venues, policies, sales stats, direct sales, scanning tickets at the door, and scanning RSVPs at the door β€” 14 separate permissions, so e.g. a door-scanner doesn't also need edit access.
  • Vendor & Merchandise – store profile, adding/editing/publishing/featuring products, shipping options, merchandise orders, reviews, stall orders, store policies, and stall bookings.
  • Equipment – adding, editing, publishing listings, managing rental bookings, damage/late-return policies, and reviews.
  • Artist – profile, bookings, collaborations, merchandise, orders, and policies.
  • Venue – listings, bookings, scanning reservations at the door, and profile/ownership details.
  • Provider – profile, services, availability, bookings, and reviews.
  • Leads CRM – view, manage (create/edit leads, log communications, schedule meetings, change status), and sales report. Vendors only β€” see the CRM & Lead Management article for how this makes a team member a Sales Agent, earning commission on the deals they close.
  • Finance – viewing financial reports and confirming payouts.

Only the groups that match features you've actually enabled on your own profile are offered, and each permission is enforced individually β€” granting just "Publish Events", for example, doesn't also let someone create or delete events.

Outlet venues: the Venue permission group above controls whether someone can manage venue listings/bookings/orders at all. To actually put a team member to work at a specific Outlet venue β€” and optionally scope them to just certain tables or sections so they only see and get notified about their own tables' orders β€” go to that venue's page β†’ QR Tables β†’ Manage Team once they have the "Manage QR Table Orders" permission. Accepting an Invite

The person you invite receives an email with Accept/Decline links. If they already have an account under the same email address, the invite also shows up as a banner on their dashboard home page (with the same Accept/Decline options) and as an in-app notification. They'll need to log in or register using the same email address you invited to accept it β€” nothing changes for them until they do.

What Staff Can See

Once accepted, the staff member gets an "Acting as" dropdown in their sidebar listing every account they help manage. Selecting your account there is what actually switches them into it β€” a banner then shows on every page confirming whose account they're managing, with a one-click way to switch back to their own.

Everything is scoped to whichever account is currently selected β€” your events/venues/equipment/bookings while acting as you, or their own while on "My Own Account" - never both blended together, and only for whichever permissions you granted. Banking Details stays view-only for staff (masked account number and verification status) β€” View Financial Reports doesn't include adding, editing, or deleting banking details.

Editing or Revoking Access

From Dashboard β†’ Team, you can change a staff member's permissions or revoke their access at any time β€” revoking takes effect immediately. A declined or revoked invite can be resent later.
